Keel Data Deletion Instructions
Last updated: 10/20/2026
This page explains how a Surface client can disconnect Keel by Surface Agency ("Keel") from its advertising accounts on Meta, Google Ads, The Trade Desk and Apple Ads, and ask Hand and Lever LLC, doing business as Surface Agency ("Surface"), to delete the data Keel holds. "Keel" includes the scheduled data pulls and data connectors that collect your advertising data for your reporting, as our privacy policy explains.
Signing in to Keel does not connect any advertising account, so removing a person's sign-in does not disconnect Keel from your accounts; the steps below do that. To ask us to remove your own sign-in, see Requests about yourself (below).
When our work for you ends, you do not need to ask: we disconnect Keel and delete your data within 30 days, as described below.
Who can ask
- Someone authorized to act for the client business - for example, an administrator of the advertising account that gave Surface access, or the person who signed your agreement with Surface.
- We act only after we have confirmed that the request comes from someone with that authority. We may check with your organization using contact details we already have.
If you are asking about yourself rather than for a business, see Requests about yourself (below).
Step 1: Remove Surface's access (you can do this yourself)
You can remove Surface's access at any time, without waiting for us. The platforms' menus change from time to time; their help articles explain the current steps.
- Meta: in Meta Business Suite, open your business portfolio's settings, go to Partners, choose Surface Agency, and either remove the assets you shared or remove Surface as a partner. See Meta's help on removing partners.
- Google Ads: in your Google Ads account, open the settings for access and managers, and remove Surface's manager account. This also ends our team's access to that account, not only Keel's. See Google's help on unlinking accounts from a manager account.
- The Trade Desk: ask your Trade Desk administrator or account team to disable the API login your business issued to Surface and revoke its API tokens.
- Apple Ads: in your Apple Ads account settings, remove the Surface user's access to your accounts.
Once you remove access, Keel can no longer get new data from those accounts. Removing access does not delete the data Keel already holds. Step 2 does that, or, when our work for you ends, we do it without being asked.
Step 2: Email us
Send an email to privacy@surfaceagency.co with the subject Keel data deletion request. Please include:
- your name, your role and your business;
- whether you want us to delete your data, or only to disconnect Keel;
- if you only want to disconnect, which platforms and accounts; and
- the best way to reach you.
A deletion request covers all the data Keel holds for your business. To end Keel's access to only some of your accounts, ask us to disconnect those. On Google Ads, Keel and our team reach your accounts through the same manager-account link, so if you want our team to keep working in an account, we stop Keel's data collection from it instead of removing the link.
Do not send passwords, login codes, access tokens, or reports containing your advertising data. If you cannot email, write to Hand and Lever LLC (Surface Agency), 1501 Tappahannock Trail, Marietta, GA 30062.
What happens next
- We confirm we received your request: Within 3 business days
- We confirm you are authorized, and agree with you exactly what the request covers: As soon as you reply to our check
- We stop Keel's access to, or scheduled data collection from, the covered accounts: Promptly after we have verified the request
- We delete the covered data Keel holds: Within 30 calendar days after we have verified the request
- We confirm in writing what we deleted, and anything we had to keep, why, and until when: When deletion is complete
When our work for you ends, we follow the same steps without waiting for a request: we stop Keel's access and data collection, delete the data Keel holds for you within 30 calendar days after the work ends, and send the written confirmation to your main contact.
What we delete
- Copies of the data the platforms sent us (raw data).
- Reports and other data we built from it, including reports in Google Sheets.
- Campaign details and ad content Keel copied from your accounts.
- Business figures you shared with us for analysis.
- Our Slack posts that carry your figures.
- Keel sign-ins for your staff.
- Our records of each data pull and connector run. The connectors' records hold only internal codes, checksums and counts.
We also end Keel's access to your accounts. We remove Surface's access on each platform, or, where only you can, ask your administrator to. We delete any API login your business issued to us from our storage. Keel then cannot reach your accounts again without a new approval from you. On Google Ads, if our team still works in your account, we instead stop Keel's collection through a reviewed change to our setup, and Keel does not resume without your approval.
What we cannot delete
- Your data in the platforms. Your advertising accounts, campaigns and their history stay in Meta, Google Ads, The Trade Desk and Apple Ads, and you manage them there.
- Copies outside Surface. Reports, exports or files we already sent you, or that you shared with others, are in your control.
What we may keep, and for how long
We keep something only for a legal, contractual, security, backup or audit reason - never for convenience. For example:
- A record of your request and of what we deleted, so we can show we did it. We keep it for up to 13 months.
- Logs of our data pulls, data connectors and cloud setup, kept for about 13 months (400 days).
- The Keel app's own logs, including its activity log, which records the changes and approvals people make in Keel. They do not yet expire on a schedule.
- Backups of the Keel app's database. They cannot be erased one client at a time, and they expire within about 35 days. We do not use them for normal work. If we ever restore a backup, we delete your data from it again before anyone uses it.
- Our cloud provider's own copies. After we delete data, our cloud provider finishes erasing it from its own systems on its published schedule.
If we must keep something longer - because the law or a contract requires it, or for a security, backup or audit reason - we record what it is, why, who is responsible, and when we will delete or review it.
Our written confirmation lists anything we kept, why, and when it will be deleted, or that no date is set yet.
Requests about yourself
If you sign in, or used to sign in, to view Keel reports, email privacy@surfaceagency.co to ask us to remove your sign-in and delete the information Keel holds about you. We follow the same steps and timeline as above. Logs that record your sign-ins are kept as our privacy policy describes: about 13 months (400 days) in our cloud logs, and with no set period yet in the Keel app's own logs, including its activity log of any changes and approvals you made.
If you think Keel holds other information about you - for example, because you appear in a client's ad - email privacy@surfaceagency.co. We will tell you what we can. When the information belongs to one of our clients, we may pass your request to that client and help them answer it.
